CONCORDIA PARISH LIBRARY BOARD OF CONTROL MINUTES WEDNESDAY, JULY 22, 2015 CONCORDIA BANK -MONTEREY 1. CALL TO ORDER Mrs. Marjorie Vogt called the meeting to order at 2:00 p.m. at the Monterey Bank. Members present were Jackie Young, Betty Jo Bragg, Bobby Sheppard, Bobbie Calhoun, Renard Chatman, Marjorie Vogt and Kathleen Stevens. Quorum was present. Member absent was ex-officio Melvin Ferrington. 2. MINUTES Jackie Young made the motion to accept the minutes as mailed and Bobby Sheppard seconded the motion. Motion carried. 3. REPORTS A. Circulation 1. May – Report was examined. (See Attachment) 2. June – Report was examined. (See Attachment) B. Financial 1. Current Balance Sheets – May/June – These sheets were discussed. The librarian stated that more money was left in the checking account due to unexpected bills with construction. (See Attachment) 2. Current Budget – The budget will need a revision in November. (See Attachment) 4. OLD BUSINESS A. Vidalia Library Construction 1. Re-Opening – August 27, 2015 @ 10:00 a.m. – The Library Board was asked to greet and meet the guests who attend. 2. Heating & Cooling – Natchez Heating and Cooling has done some repair work and the library owes for these repairs. 3. Lights downstairs – Bobbie Calhoun made motion to accept Cauthren’s quote for new downstairs light fixtures to replace the old ones that were so dim of $14,848 and Kathleen Stevens seconded the motion. Motion carried. 4. Update Cameras – Communication Services is supplying new cameras and computer connections for the upstairs. The downstairs cameras need to be replaced and updated to provide better coverage. Mr. Blanche stated he could do this work for around $10,000. Betty Jo Bragg made the motion to allow Communication Services to update down stairs cameras and Jackie Young seconded the motion. Motion carried. 5. Furniture – Some furniture had been delivered and two more trucks are expected. B. Clayton Property – Town meeting – The Clayton Town Meeting Minutes for July reflect the approval of the donation of the 1 acre to the Police Jury for the new Clayton Library and the Alderman’s commitment to supply water and mowing for the new building. C. Summer Reading Programs – 1,360 children and teens attended the 7 week program. D. Art Grant & Entergy Grants – Librarian stated applications have been submitted. 5. NEW BUSINESS A. Programs (See Attachment) 1. Chris Kyle – July 23rd & July 30th @ Vidalia Library @ 6:00 p.m. 2. Customer Service – July 25th at the Ferriday Library @ 9:00 a.m. 3. iPhone Class – August 29th at the Ferriday Library @ 9:00 a.m. 4. Shreveport Opera Express – Two School Performances 5. Proper Planting: Annuals, Shrubs & Trees at the Vidalia Library @ 6:00 p.m. on September 24th. 6. Microsoft Word – September 26th at the Ferriday Library @ 9:00 a.m. B. Policy – Dress Code – Kathleen Stevens made the motion to revise the dress code policy and Bobbie Calhoun seconded the motion. Motion carried. (See Attachment) C. New Staff – One new part staff member was hired to work in Vidalia and Ferriday. D. Trustee Meeting – September 25th – The librarian will be unable to attend but will take care of all the arrangements for any board member who will attend. (See Attachment) E. Teacher/Library Training – The librarian will give a presentation on August 3rd to school teachers and librarians. 6. PUBLIC COMMENT A. Verbal – NONE B. Written – NONE 7.
